Please read our Terms and Conditions thoroughly before making a booking.
Contracts & Booking requirements
The purpose of our written contract is to confirm the details of our booking, and to verify the terms of our contractual agreement. Bookings will only be confirmed upon receipt of an agreed deposit. Therefore by paying the agreed deposit you also agree to be bound by the following non-negotiable terms and conditions of booking.
Please note - non-completion or non-return of a written contract does not terminate our booking.
If you have paid a deposit but do not agree to any of the terms & conditions below you have the right to cancel our booking and request a full refund within 28 days of the date your deposit was paid. Out with 28 days you will lose your deposit and possibly incur a cancellation fee (see heading “Cancellation” below.
In the interest of transparency, the band or tribute act will be known herein as the artiste(s) and the customer who hires the band or tribute act will be known herein as the client.
Venue Requirements
While the artiste(s) will consult with the venue once a booking has been made, the client must also ensure that the venue is suitable for the artistes performance.
The venue must provide a safe and adequate source of power suitable for the artiste(s) PA, Stage lighting and equipment. We require a minimum of 2 x 13 amp main sockets for the PA and lighting system.
The venue must provide a safe, dry and even performance area of sufficient size to accommodate the performance of the artiste(s) with appropriate licenses and no inhibiting noise limiters. The stage area must be flat, dry and even and made from a solid material of sufficient strength to support the band/artiste and their equipment.
Overnight Accommodation
If the venue is more than 2hrs drive from the home/base of the artiste(s), the client will be required to arrange and pay for suitable overnight accommodation for the artiste(s).
Refreshments
It is the clients' duty to ensure that the artiste(s) is provided with adequate non-alcoholic refreshments throughout their stay at the performance venue. The minimum that must be made available is a free unlimited supply of soft drinks for all performing artiste(s) and their staff. If the client has requested that the artiste(s) attend the venue more than 3 hours before the start of the performance then 1 hot meal per artiste(s) and unlimited soft drinks must be provided by the client.
PA and Lighting
The artiste(s) will supply their own PA and lighting equipment suitable for audiences of up to 300 people. For larger venues the client will need to provide their own PA or arrange for the hire of suitable equipment.
Parking and Vehicle Access
The artiste(s) must be able to unload their vehicle(s) close to the performance area. The route from the parking area to the performance area must be unobstructed ground suitable for the movement of wheeled trolleys.
All access roads and entry points must be suitable for a Transit-size van.
It is the clients' responsibility to ensure that the artiste(s) is provided with sufficient parking facilities at the venue for all vehicles associated with their act. If no legal parking is available at the venue, rendering the artiste(s) incapable of unloading, or after unloading the artist(s) is unable to secure legal parking within a ¼ mile radius of the venue, the client agrees to pay for any reasonable parking expenses thereby incurred. This includes, but is not limited to parking meters, car park fees, parking tickets, wheel clamp removal, impound release fees etc. However, the artiste(s) will make all reasonable attempts to find legal parking where possible.
Storage and Rest Area
The client must ensure that there is a separate, dry and comfortable indoor area for the artist(s) to change in and rest.
The area should preferably be lockable and must include sufficient chairs for the entire party.
Please note that cloakrooms, tents, kitchens, toilets and bathrooms are not acceptable for this purpose, although a clean, disabled toilet may be used as a changing area if no other area is available.
Noise Restrictions
The artiste(s) will always try to play at a volume appropriate to the venue and will perform at a venue with an installed sound limiter unless the limiter has not been professionally wired and calibrated. The venue should be able to provide documents as proof of installation & calibration.
If power is cut off to the artiste(s) equipment and the equipment subsequently fails, or is deemed to be faulty, the client is liable for the repair costs or suitable replacement of any damaged equipment.
The artiste(s) will stop playing immediately when instructed to do so by the client, the venue manager, catering staff, police, or local council member.
Payment details
Once the agreed deposit has been paid, the remaining balance must be paid in full no later than 14 days before the event (by bank transfer or cheque) or paid in cash at the start of the event and before the first live performance. If you wish to pay by cash on the night, please ensure that this is arranged immediately upon the artiste(s) arrival at the venue. The artiste(s) reserve the right not to play until full payment has been made.
Performance Duration
If booking a Tribute act the performance time will be set out in the contract and will be strictly adhered to.
If booking the Wedding & Function Band the performance will be no more than 3 hours, not including a 35-40 minute break, and will finish by midnight unless otherwise agreed. (It is down to the artiste(s) discretion if asked to play beyond midnight.)
If the artiste(s) is unable to setup or start performing at the agreed time for reasons beyond their control they will not be obliged to extend their performance.
Once the artiste(s) equipment has been set-up and tested, they may agree to leave pre-recorded music playing through their PA system before the performance and between sets. The artiste(s) will bring their own selection of background music. If the client wishes to play their own music selection this must be agreed with the artiste(s) before the performance date.
It is agreed by the client that any equipment and instruments of the artiste(s) are not available for use by other performers or persons, unless previously discussed & agreed by the artiste(s).
Setup and Breakdown
The artiste(s) take approx. 1 hour to set-up, sound check and change their clothes; so for a wedding reception, if the artiste(s) gain access to the stage/performance area at 7pm they should be ready for your 1st dance at 8pm depending on the loading/unloading area & distance to the stage/performance area of the venue.
The artiste(s) must be able to safely and conveniently dismantle and load their equipment directly after their performance.
If the artiste(s) are unable to breakdown their equipment directly after their performance or are in any way prevented from dismantling or unloading their equipment additional fees of £250 per hour will apply.
The artiste(s) will require approximately 1 hour after the performance to dismantle their equipment and load their vehicles. Please ensure that the venue managers are aware of this requirement.
Cancellations - after being re-scheduled (including coronavirus)
Cancellation of this contract must be notified in writing, signed by you, the client, and posted to us, the artiste, by recorded delivery. In the event of cancellation by you, the client; after we have agreed to re-schedule the event, you, the client will immediately owe the following fees:
Please not that our standard cancellation terms & conditions do not apply to events that have been re-scheduled. This includes events that have been re-scheduled due to the coronavirus outbreak. We, the artiste(s) have agreed to re-schedule the clients' event to the new date stated in this contract, and have not charged the client any additional fees to do so. If the client decide to cancel our services at any point after entering in to this re-scheduling contract, a cancellation fee of 100% of the outstanding balance will be due from the client) to the artiste(s) immediately; unless the reason for cancelling is force majeure. In the event of the performance having to be cancelled due to circumstances beyond the control of either you, the client or us, the artiste(s), then neither party will have responsibility to the other for any loss suffered thereby. For the avoidance of doubt no fee will be payable by either party in respect of performances cancelled by force majeure.
This cancellation clause also does not mean the client will be liable to pay a cancellation fee if the client needs to reschedule again, as long as the artiste(s) have the new date available and a rescheduled booking is made. The cancellation fee of 100% of the outstanding balance will, however, come in to effect if you, the client, re-schedules for a 2nd time, for any reason other than force majeure, to a date that we, the artiste(s) are not available for.
Cancellations
Should you, the client, wish to cancel a booking that has not already been re-scheduled (see above) you agree to be bound by the cancellation fees detailed below. Cancellations must be notified in writing, signed by the client and posted to us by recorded delivery. In the event of cancellation by you, the client, the following fees will apply:
In the event of a cancellation by you, the client, out with 12 weeks prior to the performance date, you the client, will lose the agreed deposit but will not be liable for any other cancellation fee unless you are still going ahead with your wedding/event but you have decided to book another Band or Tribute Act . In this case you, the client, will be liable to pay 50% of the outstanding balance.
In the event of a cancellation by you, the client, within 12 weeks prior to the performance date, you the client, will be liable for, and required to pay a cancellation fee of 50% of the outstanding band/artiste fee.
Where notice of cancellation is within 8 weeks in advance of the performance, you the client, will be liable for, and required to pay a cancellation fee of 75% of the outstanding band/artiste fee.
If you, the client, cancel within 4 weeks in advance of the performance; you, the client, will be liable for, and required to pay a cancellation fee of 100% of the outstanding artiste(s) fee.
If you, the client, breach any of the above Terms and Conditions you will be liable for, and required to pay the full outstanding artiste(s) fee.
**Please be advised that our contract can only be cancelled if we receive a signed, written letter by you (the client) via recorded delivery post.**
